Nobody changes booking system because it sounds fun
The reason operators stay on something they have stopped liking is not loyalty. It is the week where two systems are both live, the diary is uncertain and a double booking is one mistake away. So the switch is built so that week does not exist.
Import, shadow, reconcile, flip
Four steps, in that order, and you can stop after any of them. Nothing is irreversible until the last one, and the last one takes seconds.
At no point are two systems both selling the same slot. That is the whole design constraint, and everything below follows from it.
Through the API, because the export will not give it to you cleanly
Most platforms will hand you a CSV of bookings and very little else. Customers lose their history, vouchers lose their balance, and the reporting you had yesterday starts again from zero on the day you move.
We pull through the API instead, wherever one exists: customers, bookings, past and future, voucher balances, and the trading history behind your numbers. The point is that your first month on the new system can still be compared to the same month last year.
We run beside you while your current system stays in charge
During the shadow period your existing platform remains the sole authority for availability and for taking money. Venue Harmony ingests what it does and produces the same diary, the same availability and the same numbers, without selling anything.
Your staff can use it, look at it and disagree with it while it cannot do any harm. If it is wrong, we find out in a week where being wrong costs nothing.
You do not flip on a promise, you flip on a report that agrees
A reconciliation report runs for the whole shadow period and compares the two systems line by line: bookings, availability, takings, voucher balances. Where they disagree, it says which record and by how much.
You watch it until it agrees, for as long as you want. Nobody at our end decides you are ready. The report does, and you read it.
One moment, at a time you pick, and the old system stays intact
Authority moves atomically. Before it, your incumbent sells and we do not. After it, we sell and it does not. There is no overlap window, so there is no double booking, and you choose the hour: a Tuesday morning, not a Saturday night.
We never write to your existing system. It stays exactly as it was, with all of its data, behind you. If you want to go back you turn it back on, because nothing was taken away from it in order to move you.
One venue first, on its own trading figures
Groups do not have to move together. Run one venue through the four steps, hold it there for as long as you like, and compare it against the sites still on the old platform.
When the rest follow, they join the same organisation, so reporting, customers and vouchers are shared from the day each one lands rather than stitched together later.
