Who we are
This policy applies to [LEGAL ENTITY NAME] (ABN [ABN]), trading as Venue Harmony, and to the website at venueharmony.com.au.
We are based in Melbourne, Australia.
This policy covers our website only. If you become a Venue Harmony customer, a separate agreement governs how we handle the data you and your customers put into the platform, and it will be provided to you before you sign up.
What this policy is for
It explains what personal information we collect through this website, why we collect it, who we share it with, and what you can do about it. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
What we collect
When you register for early access: your name, work email address, business name, country, the number and type of venues you operate, the booking system you currently use, your approximate booking volume, and anything you write in the free-text field.
When you contact us: whatever you put in the message, and your email address.
Automatically, when you visit: your IP address, browser type and version, device type, the pages you visit, how long you spend, and the site or advertisement that referred you. This is collected through analytics and only if you have consented to it.
Consent records. When you tick a consent box we store the exact wording you agreed to, the date and time, and the IP address the submission came from. We keep this because we may need to prove your consent was given.
We do not collect sensitive information as that term is defined in the Privacy Act, and we ask you not to send it to us.
What we do not collect
We do not collect payment card details through this website. There is nothing to buy here.
We do not knowingly collect information from anyone under 18. This is a website about business software.
Why we collect it
- To contact you about early access, and to work out whether Venue Harmony suits your business.
- To respond to enquiries.
- To send product updates and marketing, where you have consented.
- To understand how the website is used so we can improve it.
- To meet our legal obligations.
We will not use your information for a purpose you would not reasonably expect, and we will not sell it.
Marketing and how to stop it
We only send marketing emails to people who have expressly consented by ticking an unticked box. Every marketing email carries a working unsubscribe link and we action unsubscribes within five business days, which is our obligation under the Spam Act 2003 (Cth).
Unsubscribing from marketing does not stop operational emails if you are a customer, such as billing or security notices.
Who we share it with
We use third-party services to run this website. Each of them may hold some of your information.
| Service | What for | Where the data sits |
|---|---|---|
| [HOSTING PROVIDER] | Website hosting | [REGION] |
| [DATABASE PROVIDER] | Storing form submissions | [REGION] |

| [ANALYTICS PROVIDER] | Understanding site usage | [REGION] |
We may also disclose information where the law requires it, or to our professional advisers under confidentiality.
We do not sell personal information and we do not disclose it to third parties for their own marketing.
Overseas disclosure
Some of the services above store data outside Australia, in [LIST COUNTRIES]. By using this website and submitting information to us, you acknowledge that your information may be handled overseas and that overseas recipients may not be subject to the Australian Privacy Principles or to privacy laws that give you comparable protection.
We take reasonable steps to ensure overseas recipients handle your information consistently with this policy.
How long we keep it
Early access registrations: while there is an active relationship or a reasonable prospect of one, and for [X] years after the last contact.
Enquiries: [X] years.
Consent records: for as long as we hold the underlying information, plus [X] years, because they are the evidence of consent.
Analytics: [X] months.
When we no longer need information and are not required to keep it, we destroy or de-identify it.
How we protect it
Data is encrypted in transit and at rest. Access is restricted to people who need it. We review our security practices as the business grows.
No system is perfectly secure. If a data breach occurs that is likely to result in serious harm, we will notify you and the Office of the Australian Information Commissioner as required under the Notifiable Data Breaches scheme.
